Quadrix – Privacy Policy

This Privacy Policy describes how Quadrix (“we”, “us”, “our”, or “Quadrix”) collects, uses, shares, retains, and protects information when authorized users access or use the Quadrix mobile application (the “App”) and related backend services (collectively, the “Service”).
The Quadrix Service is a fleet dispatch, navigation, and load management tool intended exclusively for commercial drivers, dispatchers, fleet operators, and authorized logistics personnel who have been authorized by their employer, fleet owner, or organization.
The Service is intended for use only in the United States. It is not intended for use by the general public, by individuals outside the United States, or by individuals under 18 years of age.
By using the Service, you acknowledge that you have read and understood this Privacy Policy.
1. Information We Collect
We collect information necessary to provide fleet dispatch, navigation, load tracking, document capture, inspection, and operational logistics services.
1.1 Account Information
When you sign in to the App or use the Service, we may collect:
- Email address – used to identify your account and send a one-time password (OTP) or other login-related communications.
- Driver ID, User ID, fleet ID, or organization ID – internal identifiers used to associate your activity with your assigned fleet or organization.
- Account status and role – such as driver, dispatcher, administrator, or fleet operator.
- Authentication information – such as access tokens, refresh tokens, session status, and login timestamps.
We do not collect passwords for OTP-based login unless a password-based login feature is separately enabled.
1.2 Location Information
The App uses your device’s location services to provide core logistics features, including navigation, route progress, dispatch visibility, estimated time of arrival (ETA), automatic arrival detection, and active load tracking.
When you grant location permission, we may collect:
- Precise location, including GPS, Wi-Fi, and cellular-based location.
- Approximate location, where available.
- Heading, speed, altitude, and accuracy values reported by the device.
- Location timestamps.
- Load, stop, driver, vehicle, or organization identifiers associated with the location event.
Location may be collected:
- While the App is in the foreground, when you are assigned to or interacting with an active load, stop, dispatch, navigation, or delivery workflow.
- While the App is in the background, only when required for an active logistics workflow, such as when a load is in progress, navigation is active, the screen is locked, or the App is minimized.
A persistent notification may be shown while background location collection is active, where required or supported by the operating system.
We do not collect GPS location from your device when:
- You are not logged in.
- You do not have an active load, dispatch assignment, navigation session, or logistics workflow requiring location.
- Location permission has been denied or revoked.
- Background tracking has been stopped by you, the operating system, or Quadrix.
- The load has been completed, cancelled, unassigned, or otherwise no longer requires tracking.
If you deny or revoke location permission, Quadrix will not collect GPS location from your device. However, certain features may be unavailable or limited, including navigation, automatic arrival detection, ETA calculation, dispatch reporting, route compliance, and active load tracking.
1.3 Real-Time Location Transmission
When location tracking is active, the App may transmit location updates securely to Quadrix backend servers in real time, including through WebSocket Secure (WSS) or similar real-time communication technologies.
Real-time location transmission is used to:
- Show active load progress to authorized dispatchers and fleet personnel.
- Calculate and update ETAs.
- Detect arrival at pickup, delivery, or other shipment stops.
- Support route compliance and operational visibility.
- Help resolve operational issues, disputes, delays, and support requests.
- Support safety, security, fraud prevention, and abuse prevention where applicable.
Quadrix does not use background location data for advertising and does not sell location data.
1.4 Camera, Microphone, Photos, and Media
With your permission, the App may access your device’s camera, microphone, photo library, or storage.
We may collect:
- Photos or scans of shipment documents, such as Bill of Lading (BOL), Proof of Delivery (POD), Lumper Fee receipts, and related load documents.
- Photos, videos, and audio recordings captured during pre-trip inspections (PTI), post-trip inspections, or other inspection workflows.
- Files or images selected from your device for upload to the Service.
- Metadata related to uploaded files, such as upload time, file type, load ID, stop ID, or inspection ID.
Captured documents, photos, videos, and related files may be uploaded to Quadrix backend servers and linked to the relevant load, stop, driver, vehicle, inspection, or fleet record.
1.5 Device and Technical Information
We may automatically collect technical information, including:
- Device model.
- Operating system and OS version.
- App version and build number.
- Device identifiers used for app functionality, diagnostics, security, or session management.
- IP address.
- Connectivity status, such as online/offline state.
- Crash logs and diagnostic information.
- App performance data.
- Basic usage events, such as screen views, feature interactions, and error states.
We use this information to operate, secure, debug, and improve the Service.
1.6 Vehicle, Load, Stop, and Operational Information
While using the Service, we may collect operational logistics information, including:
- Assigned loads, shipments, stops, and routes.
- Pickup and delivery addresses.
- Stop arrival and departure timestamps.
- Load status and phase transitions, such as “To Stop,” “Arrived,” “Checked In,” “Loading,” “Departed,” or similar workflow statuses.
- Notes entered by users, including delay reasons, stop notes, or dispatch notes.
- Uploaded load documents, inspection records, and related media.
- Vehicle, trailer, equipment, and driver identifiers tied to your account or fleet.
- Route compliance and delivery verification data.
- Records of in-app notifications, acknowledgments, and operational events.
1.7 Communications and Support Information
If you contact us or your fleet support team through the App, website, email, or other support channels, we may collect:
- Your name, email address, or contact details.
- The contents of your message.
- Attachments or screenshots you provide.
- Support ticket details.
- Records of our responses.
2. How We Use Information
We use the information we collect to provide, maintain, secure, and improve the Quadrix Service.
Specifically, we use information to:
- Authenticate users, manage sessions, and verify authorized access.
- Operate core logistics features, including dispatch, load management, stop workflows, route visibility, turn-by-turn navigation, ETA calculation, and document upload.
- Provide active load tracking, including real-time GPS updates while an active logistics workflow requires location.
- Detect arrivals and departures, including geofence-based arrival detection near pickup, delivery, or other assigned stops.
- Share load progress and driver status with authorized dispatchers, fleet operators, administrators, and logistics personnel within the same fleet or organization.
- Support route compliance, delivery verification, and operational audit records.
- Process and store shipment documents, including BOL, POD, Lumper Fee receipts, and inspection records.
- Support PTI and inspection workflows, including capture, upload, and review of inspection media.
- Send in-app notifications, alerts, reminders, and operational updates.
- Diagnose bugs, crashes, connectivity issues, and performance problems.
- Protect the Service, including detecting misuse, unauthorized access, fraud, abuse, or security incidents.
- Comply with legal obligations, respond to lawful requests, enforce agreements, and protect the rights, safety, and property of Quadrix, users, fleets, and the public.
- Improve the Service, including reliability, usability, routing, workflow design, and operational performance.
We do not use personal information for third-party advertising, behavioral advertising, or sale to data brokers.
3. How We Share Information
We share information only as described in this Privacy Policy and only as needed to operate, secure, support, or improve the Service.
3.1 Within Your Fleet or Organization
Your location, load progress, status updates, uploaded documents, inspection records, notes, and related operational information may be shared with authorized users within the same fleet or organization, including:
- Dispatchers.
- Fleet operators.
- Fleet administrators.
- Operations personnel.
- Safety or compliance personnel.
- Other authorized logistics users involved in the relevant load, route, shipment, or workflow.
This sharing is necessary to provide dispatch, tracking, route visibility, compliance, delivery verification, and related logistics services.
3.2 With Service Providers
We use service providers that process information on our behalf. These providers may receive personal information only as needed to perform services for Quadrix and are not permitted to use the information for their own independent purposes.
Service providers may include:
- Cloud hosting and database providers that host Quadrix backend systems.
- Mapping, routing, geocoding, and navigation providers, including Google Maps Platform.
- Crash reporting, diagnostics, logging, and performance monitoring providers.
- Authentication, security, infrastructure, and communication providers.
- Customer support and operational tooling providers.
Where Google Maps Platform is used, map, routing, or geocoding functionality may be subject to Google’s applicable terms and privacy policy.
3.3 With Customers, Brokers, or Business Partners
Where enabled by your fleet or organization, limited load, shipment, delivery, or route status information may be shared with customers, brokers, shippers, receivers, or business partners involved in the relevant shipment or logistics workflow.
We do not share more information than is reasonably necessary for the specific operational purpose.
3.4 For Legal, Safety, Compliance, and Security Reasons
We may disclose information when we believe in good faith that disclosure is necessary to:
- Comply with a law, regulation, subpoena, court order, legal process, or lawful government request.
- Enforce our agreements, terms, or policies.
- Protect the rights, safety, property, or security of Quadrix, users, fleets, business partners, or the public.
- Investigate, prevent, or address fraud, abuse, unauthorized access, security incidents, claims, or disputes.
- Support insurance, accident, compliance, or regulatory matters related to logistics operations.
3.5 Business Transfers
If Quadrix is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction, information may be transferred as part of that transaction.
If your information becomes subject to a materially different privacy policy, we will provide notice where required by law.
3.6 We Do Not Sell Personal Information
Quadrix does not sell personal information.
Quadrix does not share personal information with advertising networks, data brokers, or third parties for cross-context behavioral advertising.
4. Data Retention
We retain information only for as long as reasonably necessary to provide the Service, support logistics operations, comply with legal obligations, resolve disputes, enforce agreements, and protect safety and security.
Retention periods may vary depending on the type of data, customer configuration, legal requirements, and operational needs.
Our general retention practices are:
- Account information is retained while your account is active and for a reasonable period afterward for audit, security, support, and compliance purposes.
- Location data is retained for up to 90 days for delivery verification, ETA review, route compliance, operational support, dispute resolution, and security purposes, then deleted or anonymized unless a longer period is required by law, contract, insurance, safety, dispute, or compliance needs.
- Load, stop, route, and operational records may be retained for as long as necessary for fleet operations, accounting, audit, legal, regulatory, insurance, and compliance purposes.
- Uploaded shipment documents, including BOL, POD, Lumper Fee receipts, and related documents, may be retained for as long as required by the fleet operator, applicable law, customer requirements, tax, audit, or regulatory obligations.
- PTI, inspection photos, videos, and related media may be retained for as long as needed for fleet safety, compliance, inspection, insurance, audit, or legal purposes.
- Crash logs and diagnostic data are generally retained for up to 180 days, unless longer retention is necessary for security, debugging, legal, or operational reasons.
- Support communications may be retained for as long as necessary to respond to requests, maintain business records, resolve issues, and comply with legal obligations.
You or your fleet administrator may request deletion of certain records, subject to legal, operational, contractual, security, audit, insurance, and compliance requirements.
5. Data Security
We use reasonable technical, administrative, and organizational measures designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include:
- Encryption in transit – communications between the App and Quadrix backend systems use TLS encryption, including HTTPS for REST APIs and WSS for WebSocket location streams.
- Encryption at rest – sensitive backend data is stored using encrypted databases or encrypted storage systems where appropriate.
- Access controls – access to data is limited based on role, fleet, organization, and operational need.
- Authentication controls – the Service uses token-based authentication, session management, access token expiration, and refresh-token handling.
- Authorization controls – users may access only the fleet, load, driver, document, and operational records they are authorized to access.
- Monitoring and logging – we may monitor systems for security, abuse prevention, debugging, and reliability.
- Administrative safeguards – access by Quadrix personnel is limited to authorized personnel with a business need.
No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect your information using commercially reasonable safeguards.
6. Your Privacy Rights and Choices
Depending on your U.S. state of residence, you may have certain rights regarding your personal information, subject to applicable law and verification.
These rights may include:
- Access – request information about the personal information we collect, use, disclose, or retain.
- Correction – request correction of inaccurate personal information.
- Deletion – request deletion of personal information, subject to legal, operational, contractual, compliance, audit, insurance, and security exceptions.
- Portability – request a copy of certain personal information in a portable format.
- Restriction or objection – request that we limit certain processing where applicable.
- Opt out of sale or sharing – request to opt out of sale or sharing of personal information where applicable.
Quadrix does not sell personal information and does not share personal information for cross-context behavioral advertising.

We may need to verify your identity and your relationship to the relevant fleet or organization before fulfilling a request. In some cases, privacy requests may need to be submitted through, or approved by, your fleet administrator or employer, especially where Quadrix processes information on behalf of a fleet or organization.
6.1 Location Permission Choices
You can control location access through your device settings.
If you deny or revoke location permission:
- Quadrix will not collect GPS location from your device.
- Background GPS tracking will not operate.
- Certain features may not work, including navigation, automatic arrival detection, ETA calculation, route compliance, dispatch reporting, and real-time active load tracking.
6.2 Camera, Microphone, and Media Permission Choices
You can control camera, microphone, photo library, and storage permissions through your device settings.
If you deny or revoke these permissions, some document capture, upload, PTI, inspection, or media-related features may not work.
6.3 California Privacy Notice
California residents may have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), including the right to know, access, correct, delete, and obtain a copy of certain personal information.
California residents may also have the right to opt out of the sale or sharing of personal information.
Quadrix does not sell personal information and does not share personal information for cross-context behavioral advertising.
6.4 Other U.S. State Privacy Rights
Residents of certain other U.S. states may have similar privacy rights, including rights to access, correct, delete, obtain a copy of personal information, and opt out of certain processing where applicable.

7. Children’s Privacy
The Service is intended for commercial drivers, dispatchers, fleet operators, and authorized logistics personnel.
The Service is not directed to children or individuals under 18 years of age. We do not knowingly collect personal information from children or individuals under 18.
If you believe that a child or individual under 18 has provided personal information to Quadrix, please contact us and we will take appropriate steps to delete the information, subject to applicable law.
8. United States Processing
The Quadrix Service is intended for use only in the United States.
We primarily process and store information in the United States. If you access or use the Service from outside the United States despite this restriction, you understand that your information may be transferred to, stored in, and processed in the United States, where privacy laws may differ from those in your location.
9. Third-Party Services and Links
The Service may use or link to third-party services that are not operated by Quadrix.
For example, the App may display map tiles, routing data, geocoding results, navigation imagery, or related features provided by Google Maps Platform. Your use of map or navigation functionality may be subject to Google’s applicable terms and privacy policy.
The Service does not include third-party advertising SDKs as of the effective date of this Privacy Policy.
If we add third-party analytics, advertising, or tracking SDKs in the future, we will update this Privacy Policy and applicable store disclosures as required.
10. Permissions Summary
For transparency, the App may request the following device permissions:

You can revoke device permissions at any time in your device settings. Some Service features may be unavailable or limited if permissions are denied or revoked.

12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
When we make material changes, we will update the “Last updated” date above and, where required by law, provide notice through the App, email, website, or another appropriate method.
Your continued use of the Service after the updated Privacy Policy becomes effective means that you acknowledge the updated Privacy Policy to the extent permitted by law.
13. App Store and Platform Disclosures
This Privacy Policy is intended to describe Quadrix’s data practices. Separate disclosures may also be provided through the Apple App Store, Google Play Store, device permission prompts, operating system settings, or in-app permission screens.
Those disclosures should be read together with this Privacy Policy.
If there is a conflict between this Privacy Policy and an in-app permission prompt, the more specific disclosure for the relevant permission or feature will apply.
